Built for US accounting firms

Onboarding shouldn't take six emails and a phone call.

Operant builds done-for-you automations that handle client onboarding, document chasing, compliance reminders, and back-office admin. Your team stops doing the work that should run itself.

The problem

Your team is good at accounting. They shouldn't be doing data entry.

These are the workflows we see eating 15+ hours a week at every firm we talk to.

01

Client onboarding

Chase documents by email. Re-key data into the practice management system. Draft an engagement letter. Set up QuickBooks by hand. Hope nothing slips before the first billing cycle.

~45 min per client, every single time
02

Compliance deadline tracking

Federal and state filing dates, quarterly estimates, 1099 and W-2 deadlines. All living on spreadsheets and calendar reminders. Someone has to check and chase every single week.

One missed deadline = regulatory exposure
03

Firm admin that never ends

Invoice follow-ups, appointment reminders, document chasing, internal task assignment. None of it is billable, and all of it lands on your most experienced people.

15+ hours/week of unbillable admin
What we automate

One control core. Every repetitive workflow wired into it.

Each automation connects to the tools you already run on: QuickBooks, Outlook, your practice management system. Nothing new for your team to learn.

Client intake & onboarding

One form fires the engagement letter, QuickBooks setup, document checklist, ID verification and task assignment. 45 minutes becomes under 5.

Compliance engine

Deadline tracking across every client. Filing reminders escalate to the right person automatically. Nothing relies on a spreadsheet.

Document chasing

Missing paperwork chased automatically at 48 hours and 7 days. Polite, on-brand, and relentless so your team never has to be.

Invoice & payment follow-ups

Reminders go out on schedule, escalate when ignored, and stop the moment a client pays. Your cash flow stops depending on memory.

Appointment & client reminders

Booking confirmations, pre-meeting prompts and check-ins across SMS and email. No-shows drop, calendars stay full.

Connects to your stack

Native syncs with QuickBooks, Outlook and your practice management tools. Data moves where it needs to go, on its own.

How it works

From first call to live automation in 4 weeks.

We handle all of it. Your team doesn't write code, configure tools, or manage a project. You tell us what's eating your time, and we go fix it.

01

We map your workflows

We audit every manual touchpoint in your client lifecycle and hand you a prioritized roadmap showing hours saved per process.

02

We build in a sandbox

Your top-priority automation gets built and tested with your real data in an isolated environment. Nothing touches live systems yet.

03

We deploy and train

We connect to your live systems, run alongside your team for a week, and train everyone. If something breaks, we fix it.

04

We monitor for 30 days

Every automation ships with 30 days of monitoring. We track errors, tune performance, and flag new opportunities.

Our guarantee. If we don't deliver a validated automation plan and a working prototype by week 2, you don't pay for the sprint. No risk, no lock-in, 30-day notice to exit anytime.
Real result · Accounting firm

7-person accounting firm · Austin, TX · Starter package, 3 automations, delivered in 2 weeks
~45 minPer client before, manual onboarding
< 5 minPer client after, fully automated
14 clientsOnboarded in month one with zero manual chases

A single intake form now triggers the engagement letter, generates the document checklist, notifies the assigned accountant, and creates the client workspace automatically. The work that used to swallow a senior person's morning now runs in the background while the team does the billable work they were hired for.

Who's behind this

Andris Bacanu

Founder & Managing Director, Operant

I spent 7+ years in enterprise cybersecurity at a leading global security company, building and managing automation systems for some of the most security-conscious organizations in the world.

I kept seeing the same thing: small firms doing incredible work for their clients, but drowning in manual admin that a well-built workflow could handle in minutes. Operant exists to bring that enterprise-grade automation thinking to firms that don't have an IT department. No enterprise price tag, no complexity.

Our team combines deep experience in cybersecurity, cloud infrastructure and AI, so every automation we build is secure, reliable, and tested with your real data before it ever touches a live system.

Common questions

You're probably wondering...

How do you handle security and our clients’ data?
Built to SOC 2 standards, with all data kept on US-hosted infrastructure. Your client data is never used to train AI models, never shared with third parties, and never leaves the systems you already use. We build automations that move data between your existing tools like QuickBooks, Outlook and your practice management system. We don't store client data ourselves, and every automation is sandbox-tested with anonymized data before it touches your live environment.
We're not a technical team. Do we need developers or IT staff?
No. This is done-for-you, not a software tool you have to figure out. We handle all the configuration, building, testing and deployment. Your involvement is limited to a couple of short calls explaining how things work today, plus a training session when we go live. If you can use QuickBooks and Outlook, you can use what we build.
Will this replace any of our staff?
No, and that's not the goal. We automate the admin work that stops your team from doing what they're good at. Your fee-earners get hours back for advisory work, client relationships and complex matters. Your support staff stop drowning in repetitive tasks. The firms we work with don't reduce headcount, they increase capacity without hiring.
What does this actually cost?
It depends on scope, but most firms start with 2 to 4 automations and are live within 3 to 4 weeks. The workflow audit is free and gives you a clear picture of exactly what we'd build, how long it takes, and what it costs, all before you commit to anything. There's no long-term contract, and you can exit with 30 days' notice at any time.
What if it breaks something in our existing systems?
Everything we build is tested in a sandboxed environment with your real data before it goes anywhere near your live systems. When we deploy, we run the automation alongside your existing process for a full week so nothing changes overnight. Every project includes 30 days of post-launch monitoring, and if something breaks, we fix it.
We've managed fine so far. Why change now?
You have, and that's a credit to your team. But "managed fine" usually means senior people doing work that should run itself, with admin hours growing faster than revenue. Most firms we talk to aren't in crisis, they just know the way things work today won't scale. The audit is free and takes 20 minutes. Worst case, you get a clear picture of where your time is going. Best case, you get 15 hours a week back.
